PURPOSE:
Approve the purchase of an additional fifteen (15) Oracle Software Licenses per the Oracle Public Sector Cloud Services Agreement (Oracle Contract 500121) for the Oracle Enterprise Resource Planning (ERP) system in the amount of $11,209.01 plus applicable taxes.
BACKGROUND:
Licenses were estimated for all Oracle modules purchased and implemented when initially purchased. Each year, the City accounts for all licenses actually being used. Staff verifies that there are sufficient licenses and that the City is paying for the appropriate number of licenses required. The purchase of these additional licenses will maintain compliance with the license agreement and allow for a small number of additional licenses that will be needed for the next year.
The City has adjusted the annual amount paid for licensing services for the past three years, and the amounts have been within the allowed purchasing authorization limits for staff. However, the purchase of the additional fifteen licenses exceeds the allowed 5% increase and, therefore, requires Council approval.
COMMUNITY IMPACT:
Proper management of the ERP system will improve the City’s ability to successfully manage fiscal resources.
FISCAL IMPACT:
Funding for the additional licenses in the amount of $11,209.01 plus applicable taxes is allocated and available in the Administrative Services Department, Information Technology Division Fiscal Year 2023-24 budget.

SUGGESTED MOTION:
I move to approve the purchase of an additional fifteen (15) Software Licenses for the Oracle Enterprise Resource Planning system from Mythics, Inc., for the remainder of the Oracle Public Sector Cloud Services Agreement in the annual amount of $11,209.01 plus applicable taxes and authorize City staff to execute appropriate documents for the purchase.
