PURPOSE:
To consider approval of an extension of a lease agreement for climate controlled storage of documents and other materials.
BACKGROUND:
In accordance with records retention law, the City is required to retain certain documents and other materials for a number of years. In 2015, the City entered into a ten-year Lease Agreement for climate controlled storage space. The Lessor’s offered to extend the lease for an additional ten years. Various departments use the space for storage of documents and materials and support the extension of the lease.
COMMUNITY IMPACT:
Securing a lease in a climate controlled environment allows for centralized storage of City documents and eliminates the risk of damage caused by exposure to extreme temperatures.
FISCAL IMPACT:
Monthly lease payment of $2,100 beginning August 1, 2025, increasing to $2,400 per month on August 1, 2030 will be included in future annual budgets.

SUGGESTED MOTION:Recommended Action
I move to approve the Extension of Lease Agreement for climate controlled storage space for ten additional years and authorize the City Manager to execute the Extension on behalf of the City.
