PURPOSE:
Approval of service agreement to provide message and content archiving services for the City’s social media content.
BACKGROUND:
Lake Havasu City has embraced the use of social media websites such as Facebook, Twitter, and YouTube to connect with citizens, but does not have an easy way to capture all the interactions to comply with public record laws and supervisory obligations.
Smarsh, Inc., provides a subscription-based service that archives social media records making content easy to access, review, and produce. Content will be archived in proper context, regardless of where, when, and how they are generated.
The subscription includes archiving platform content usage, core platform, and add-ons for an annual total of $2,139.87, effective July 1, 2024, through June 30, 2025.
This item is before Council for approval because it contains an indemnification clause.
COMMUNITY IMPACT:
Having automated social media archiving solution will minimize risk factors upfront and capture all social media interactions to comply with public record laws.
FISCAL IMPACT:
Funds in the amount of $2,139.87 are budgeted and available for this purpose in the proposed Fiscal Year 2024-25 budget in the General Fund under the Community Affairs Division of the City Manager’s Department.

SUGGESTED MOTION:Recommended Action
I move to approve renewal of the Service Agreement with Smarsh, Inc., to secure message and content archiving services and authorize the City Manager to execute the renewal quote on behalf of the City, and authorize the City Manager to renew the Agreement annually as long as the amount does not exceed $5,000.
